When you first log-in go to the little radio button on the right, just below the "Search" box to choose to either "Search" the list of everything that we carry (catalog) or Load your "Order Guide" and search the items in it. The "Order Guide" view is the most popular. Click on "Load" to see your Order Guide. Open this Adobe PDF for detailed instructions to do things like create your own Custom Order Guides with your Par Stock Levels.

ENTERING AN ORDER GUIDE  ORDER

The form displays all products included on the Order Guide.  Use the "Search" field to jump to an item in your Order Guide or click on the numbered pages. We broke up your Guide into smaller pages, so it would load faster.

The Date fields display ordered amounts for the previous 5 weeks. 

Click on the Order field of an item you want to order.  The line is highlighted. Enter the Order Amount.  The Extended Amount and Deal Amount (if applicable) are displayed.

 

You can still search the entire product list, by description, brand, line or category by hitting the "Advanced Search" button on the lower left. Here is what it looks like.

ADDING ITEMS TO AN ORDER GUIDE ORDER

If you want to order  items that are not included on the Order Guide,  you can add items to the Order form.   

Enter a new item in the blank line at the bottom of the Order Guide.  Enter the Product code in the ITEM field or use the Product SEARCH function

ADDING COMMENTS TO AN ORDER

Click on "Note" to display the Product Comments form. 

Click on the first text box and select the type of print flag.  Click on the second text box and enter your first comment.  Click the tab button and repeat for every comment that needs to be entered.  Click the Save button then the Close button.

ORDER GUIDE PRINT

Click on the Sort By dropdown box at the bottom left of the screen to sort your order guide. You have the ability to sort the Order Guide Print Report by several options and print or export formats, such as Excel.

QUICK ORDER

With a printed Order Guide, you can take your inventory on it and write your order. Since you now have our item number and your desired quantities you can save time by using the "Quick Order", found under "Order.

 

SHOPPING CART

Click on the Blue Cart anytime that you want to see what you have already ordered. From there you can still go Back to Shopping or Check Out

 

 

TRANSMIT THE ORDER

 When the Order is complete, click on the SAVE ORDER button at the bottom right of the Order form.  The TRANSMITTAL form displays.

 


 

ENTER THE CUSTOMER’S PO NUMBER (if required)

 

f there is a red asterisk next to the PO Number field, this information is required.  The system will not transmit the Order until the PO Number is provided.

 

ENTER AN ALTERNATE SHIPPING ADDRESS (optional)

 

If this Order should be shipped to an address other  than the Customer’s normal shipping address, enter the address here.  Otherwise, skip these fields.

 

CHANGING THE SHIP DATE

 

This form displays the system-assigned Ship Date for the Order.  To change this date, click on the Calendar icon to the right of the date.  A CALENDAR  displays:

 

Click on the direction arrows in the top corners of the Calendar to see the previous or following month.

 

Only dates in the shaded section of the Calendar can be selected as the new Ship Date.

 

 

 

Click on a new Ship Date.  If it is a valid date for this Customer,  the new date displays in the Ship Date field.

  

 

ENTER ORDER COMMENTS (optional)

 

If you want comments to print on the  Invoice, Manifest, Pick Label,  Pick List or Work Order, click on this button to go to the  Order Comments screen.

 

The Standard Comments field displays existing comments from the host system that apply to this Customer.

 


  

 

 


 

Order Comments

 

 

Use the drop-down list to select the document on which the comment will appear.

·         Invoice

·         Manifest

·         Pick Label

·         Pick List

·         Work Order

 

Key the comment in the Comments field.  If the comment fills more than the viewable space,  a scroll bar is provided to move the display up and down.

 

Click the SAVE button to save the comment(s) you have entered.

 

Click the CLOSE button to return to the Transmittal form.

 


 

REVIEW / UPDATE  THE ORDER

 

 

 

 

 

 

 

 

Click on the REVIEW ORDER button to go back to the Order form. Use this option if you want to add items to or delete items from the Order, add Line Item Comments or change order amounts. Changes can be made until the order is Transmitted.

 

The review form displays only the items you have ordered (not the entire Order Guide, if one was used). 

 

To CHANGE an ORDER AMOUNT, click on the appropriate Order field and enter a different amount.

 

To ADD an  ITEM to the order, enter the Product code in the Item field of the blank line at the bottom of the form, or use the PRODUCT SEARCH feature to select a product (see page 11).

 

To ADD a line item COMMENT, click on the Note field to display the Line Comments form (see page 13).

 

To DELETE an ITEM from the order, check (click on) the Delete field at the far right of the form.  When all items you want to delete have been checked, click on the DELETE button at the bottom of the form.

 

After making changes, click on the  SAVE button to save your changes, then click on the CLOSE button to return to the Transmittal Form.

 


 

TRANSMIT THE ORDER TO THE HOST SYSTEM

 

If you have entered information on either the Transmittal or Comments forms,  click the SAVE ORDER button.  Then press the TRANSMIT ORDER button.  After an order has been transmitted, it cannot be changed.

 

If the order is transmitted successfully, a message box displays:


  

 

 

 


 

UPDATE OPEN ORDER

 

This option can be used to make changes to Orders that have been Saved, but not Transmitted.

 

The following changes can be made:

·         Add a Product to the Order

·         Delete a Product from the Order

·         Change an Order/Shelf Amount

·         Add/Delete an Order Line Comment

 

SELECT THE ORDER

 


Display the Order  you want to update by entering the Order Number or by using the Order Search feature.

 

Click on the search button [...] to display a list of all Open Orders.

 

OPEN ORDERS LIST

 

 

 

 

 

 

 

 

 


 

If the list is extensive, you can limit the display by entering a complete or partial Order Number, Order Date, Ship Date or Customer Name in the space at the top of each column.  Only orders conforming to the information you have entered are included in the list.  If you do not select an Order, use the CLOSE button to EXIT the form.

 

Select an Order from the list by highlighting  the appropriate line and clicking on the PICK button.

UPDATE THE OPEN ORDER

 

 

 

 

 


 

To ADD a new line or lines, enter the Product code in the Item field of the blank line at the bottom of the form, or use the Product Search feature to select a product or products (see page 11).

 

To DELETE a line or lines, click on the line item Delete field then click on the DELETE button in the bottom right corner of the form.

 

To add or delete a LINE ITEM NOTE, click on the Note field to go to the Product Comments form

 

When updating is complete, click on the SAVE  button to save the changes and go to the Transmittal form 

Use the CLOSE button to leave the form and return to your home page.

Note: Changes are not saved unless you have used the SAVE button.                                                                            

 
 

ORDER GUIDE MAINTENANCE

 

Use this function to create new Order Guides and to update existing Order Guides.

Order Guides created in this application and changes made to Order Guides created on

the host system are not transmitted to the host system. Order Guides are used for Order

Entry and for creating Retail Pricing.

CREATE A NEW ORDER GUIDE

The form shown below displays when this function is selected from the menu.

Customer

Use the drop-down list to select the Customer who will use this Order Guide.

Open Order Guide (button)

This button is used to select an existing Order Guide and is not used for creating a new

Guide.

Order Guide

Place the cursor in this field and enter the identification for the new Order Guide.

Item or Search

Double click on the Item field, then enter a Product Number in the field.

- or -

Use the Add Items/Search button to display the Advanced Search form (see page 21) .

Product information is displayed in applicable fields.

Seq

If you want products displayed in a specific sequence on the Order Guide, enter a

Sequence Number. Otherwise, skip this field.

Par

If this Order Guide is used to Order to Par, enter the Par Amount for this product.

Otherwise, skip this field.

Continue entering products until the Order Guide is complete. If the guide fills more

than one page, a scroll bar is provided to move through the pages quickly.

Completed Order Guide

SAVE the Order Guide by clicking on the SAVE button at the bottom of the form.

Use the CLOSE button to return to your home page.

UPDATE AN EXISTING ORDER GUIDE

OPEN THE ORDER GUIDE

Click on the Open Order Guide button at the top of the form. A list of existing Order

Guides is displayed.

Highlight (click on) the Order Guide you want to update, then click on the PICK button

at the bottom of the form.

CHANGE SEQUENCE OR PAR FIELDS by clicking on a field to highlight it, then

entering new data.

ADD LINES to an Order Guide by entering a new product in the blank line at the

bottom of the form, either by Item Number or by using the Search feature. Use the

sequence field to determine the placement of the line on the order.

DELETE LINES from the Order Guide by checking the Delete FIELD in each applicable

row and then clicking on the Delete BUTTON at the bottom of the Delete column.

 

DELETE THE ENTIRE ORDER GUIDE by clicking on the DELETE ORDER GUIDE button in the bottom left corner of the form.  A verification prompt displays:

 

The Guide is deleted only if you click on the OK button.

 

 

 

 

 

 

SAVE your changes by clicking on the SAVE button.
